Terms of Service
Effective October 30, 2026
These terms are an agreement between you and ConvoCatch ("ConvoCatch", "we", "us") for the ConvoCatch apps, website, ConvoCard, and services (together, "ConvoCatch"). By creating an account or using ConvoCatch, you agree to them. If you use ConvoCatch for a firm or other organization, you agree for it too, and confirm you have the authority to do so; "you" then means both you and it. Our Privacy policy explains how we handle information.
1. Who can use ConvoCatch
ConvoCatch is for professional and business use by people 18 or older. You are responsible for your account, for keeping your sign-in secure, and for everything done with it. An organization's owners are responsible for the people they add.
2. Recording and consent are your responsibility
ConvoCatch captures conversations you choose to capture. It does not announce itself or ask the other people on a call for permission. Laws on recording and transcribing calls differ between states and countries, and some, including Massachusetts, California, and several other states, require everyone on a call to agree. Before you capture any call or meeting, you must tell the other people on it and get any consent the law requires. You are solely responsible for doing so, and for complying with every law, rule, and professional obligation that applies to how you use ConvoCatch. Don't use ConvoCatch where capturing a conversation is not allowed.
3. AI makes mistakes: check what it tells you
ConvoCatch uses artificial intelligence to transcribe calls, write summaries, notes, and time entries, find deadlines and commitments, and answer questions. Its output can be incomplete, inaccurate, or out of date, and it can attribute words to the wrong person, miss things that were said, or cite the wrong passage. ConvoCatch is a tool to assist you; it does not give legal, financial, medical, tax, or other professional advice, and it does not replace your own judgment. You must review its output before you rely on it, act on it, bill from it, or share it. Don't rely on ConvoCatch as your calendar, docketing, or deadline system: you remain responsible for every deadline, commitment, and piece of advice in your practice.
4. Your content
You keep ownership of what you put into ConvoCatch and what it writes for you ("your content"). You give us permission to store, process, and transmit your content only as needed to provide, secure, and support ConvoCatch for you, including through the service providers listed in our Privacy policy. We do not use your content to train AI models, and we do not sell it. You confirm that you have the rights and any consents needed to give us your content, and you remain responsible for meeting your own duties of confidentiality, including any professional rules that apply to you.
5. Health information and other regulated data
Do not put protected health information under HIPAA into ConvoCatch unless we have signed a business associate agreement with you. Don't upload payment card numbers, government ID numbers, or other information that a law requires special handling for, unless we have agreed in writing that ConvoCatch can handle it.
6. Acceptable use
Don't use ConvoCatch to break the law or anyone's rights; to capture people secretly where that's not allowed; to harass, deceive, or harm anyone; to break into, overload, or interfere with ConvoCatch or other people's accounts; to copy, reverse-engineer, or resell it; or to build a competing product. We may suspend or close accounts that do.
7. Connected services
ConvoCatch can connect to services from others, such as your calendar, contacts, practice management system, and AI assistants. Those services are governed by their own terms, and we are not responsible for them or for what they do with information you choose to send them.
8. Trials, plans, and payment
A free trial lasts 14 days. After that, ConvoCatch is a monthly subscription, billed in advance per user ("seat") at the price shown when you subscribe, plus any extra hours you buy or set to be added automatically. Prices don't include taxes, which you pay where they apply. Your subscription renews each month until you cancel; you can cancel at any time, and it ends at the end of the month already paid for. Payments are not refundable except where the law requires. If a payment fails, we may pause or end your subscription. We may change prices with at least 30 days' notice by email, effective at your next renewal, except that an introductory price we promised you stays in place for as long as you remain subscribed.
9. The ConvoCard
If you order a ConvoCard, any additional terms shown when you order it, such as price, shipping, and returns, also apply.
10. Bugs, outages, and changes
ConvoCatch is software and, like all software, it has bugs. It may sometimes be unavailable, slow, or fail to capture or keep all or part of a call, and data can be lost. Keep your own records of anything important. We work to keep ConvoCatch running and your data safe, but we don't promise it will be uninterrupted or error-free. We may change, add, or remove features, and early versions may change more often.
11. No warranties
To the fullest extent the law allows, ConvoCatch is provided "as is" and "as available", and you use it at your own risk. We disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy, non-infringement, and that ConvoCatch will be uninterrupted, secure, or error-free.
12. Limit on our liability
To the fullest extent the law allows, we and our owners, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any lost profits, revenue, clients, data, or goodwill, or any claim arising from a missed deadline, a mistake in ConvoCatch's output, or your capturing a conversation, even if we were told they were possible. Our total liability for all claims relating to ConvoCatch, combined, is limited to $50. Some places don't allow some of these limits, so they apply to you only as far as the law allows.
13. Your responsibility to us
You will defend and pay for any claim, loss, or cost (including reasonable attorneys' fees) brought against us by anyone else arising from your content, your capturing of any conversation, your breach of these terms, or your violation of any law or anyone's rights.
14. Ending the agreement
You can stop using ConvoCatch and close your account at any time. We may suspend or close your account if you break these terms, don't pay, or if we must for legal or security reasons, and we may stop offering ConvoCatch with at least 30 days' notice, during which you can take a copy of your content. Sections 2 to 5 and 10 to 16 continue after the agreement ends.
15. Changes to these terms
We may update these terms. We will post the new version here with its date and tell account owners by email of significant changes at least 14 days before they take effect. Continuing to use ConvoCatch after that means you accept them.
16. General
These terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law rules, and any dispute will be decided in the state or federal courts located in Massachusetts, which you and we agree to. These terms and our Privacy policy are the whole agreement between us about ConvoCatch, unless we sign a separate written agreement with you, which then controls where it differs. If any part is found unenforceable, the rest still applies. Our not enforcing a part is not a waiver. You may not transfer this agreement without our written consent; we may transfer it as part of a merger, sale, or reorganization. Neither of us is responsible for delays caused by events beyond reasonable control.
